Workspaces, seats, and people

Ciaro is organized around workspaces, not mysterious extra accounts. A workspace is the production home for a show, a client, or your studio: its projects (stories / episodes) and its shared library live here.

Studio is the plan designed for this: several people, several episodes, one library.

Workspace vs project

• Workspace — selected in the header with Select workspace. This is “which production am I in?”
• Project / story / episode — a card on the Projects dashboard inside that workspace. This is “which episode am I boarding this week?”

Switching workspace changes which projects and which shared characters you see. Opening a different story inside the same workspace keeps the same library.

Seats

A seat is a paid place for a person on your Studio (or other collaborating) subscription.

• Your plan includes a seat capacity (shown in Account Settings as Seat capacity / seats in use).
• Invite member sends an email invite. When they accept, they occupy a seat and can work in the workspace you assigned.
• Add seats increases how many people you can invite (billed according to your plan).
• Removing someone from a seat frees that place and takes away their access to that workspace’s projects and library.

Invites you have not accepted yet appear under Pending invitations. Accept to join; decline if it was not meant for you.

How to invite someone

1. Open Account Settings (profile menu).
2. Go to the Teams / workspace area.
3. Under Seat management, click Invite member.
4. Enter their email.
5. Optionally put them on a project team if you use those groups; otherwise leave that unset so they join the workspace normally.
6. They receive an invitation and accept it in their own Account Settings.

They then use Select workspace in the header to open the same production you invited them to.

Who can do what (permissions)

When you invite someone or manage members, you can choose which parts of a project they may use:

• Script — Script Editor / story text
• Concept — Concept canvas
• Board — storyboard, shots, image work on the Board
• Video — timeline and video production

If you do not narrow this, they typically get all four. Turn a permission off when someone should only write, or only board, or only finish video.

You need at least one of these for the invite. To remove someone completely, remove them from the seat — do not try to leave them with zero permissions.

Project teams (optional)

Inside a workspace you can create project teams — named groups of seats — if subsets of the crew should be managed together. Most productions skip this at first: invite people to the workspace, open the right story, and work.

Creating extra project teams needs a paid plan and more than one seat.

If you were invited (you are not the owner)

You work in the owner’s workspace. Generation capacity and billing usually belong to that Studio, not to a separate personal bucket. Some account options (plan changes, adding seats) stay with the owner.

Leave studio (or leave class, on education) drops you out of that managed workspace and back to a self-managed account. You lose that studio’s projects, library, and credits.

Education

Some schools use class wording in the header instead of workspace. The idea is the same: you join with a class token or invite, then work in the class’s projects and library.
